Policies


Room Reservation/Event Space:

Room reservations must be set up with events management prior to setting up catering needs with the catering department.

Please ensure trash and recycling receptacles are ordered for your event space. Please include, both trash and recycling receptacles. You can discuss this with the events management department.

Tables and chairs must be requested by the facilities department. We request event areas to be set up 4 hours (at minimum) in advance for set up.

Please ensure that the event locations are unlocked to allow for delivery, set up and clean up for your event.

Placing a Catering Order on CaterTrax:

CaterTrax is the college’s convenient online system for placing all catering orders, large or small. First, simply create an account, then place any order up to 18 months in advance. You can also track, manage and repeat orders. Feel free to contact our catering office about CaterTrax /rmccatering.catertrax.com

Inclement Weather Policy:

In the extremely rare event that the college closes during adverse weather or the threat of impending inclement weather, the client will not incur any charges associated with their event. If the college remains open, but the client makes the decision to cancel their event for any weather related reason, they will be required to inform catering 48 hours in advance to avoid any charges.

Catering Department:

Our CaterTrax website is always available to accept orders, or you can call us personally for your event. The catering office is open Monday-Friday 9am-5pm, excluding Randolph-Macon College holidays. When arranging for catering services, we ask you plan as far in advance as possible.

Types of Service:

Served:

all courses are served at your table. Depending on time constraints of your event, the salad and/or dessert may be pre-set. Pricing is based on a single menu entrée selection. If your event offers two or more entrée choices, you are required to provide a specific guest count for each entrée at least 3 business days prior to the event.

Buffet:

This style of service offers a variety of menu choices. Quantities of food prepared will adequately serve the number of guaranteed guests. This, however, does not imply an all you can eat. Buffets for fewer than 25 guests may incur an additional charge. A buffet is suggested when the following may occur: guests arriving at different times, physical layout

Pickup Service:

Carryout service can be arranged for items you may wish to pick up form Dining Services in Estes Dining Hall. You are responsible for the prompt return of any equipment that has been used at your event.

Service Charges:

Most events include one staff member for set up and break down of the event. If an attendant is requested to remain on site for an event, or if additional staff members are requested the following charges will apply:

Server/Attendant: $20 per hour (4 hour minimum)

Chef Attendant: $25 per hour (4 hour minimum)

Bartender: $25 per hour (4 hour minimum)

Delivery Charges:

Catering will delivery any order $50 on campus free of charge during the hours of Monday-Friday 8am-5pm. Any order under the minimum or outside the time frame will be charged a $25 delivery charge in addition to the cost of the order.

Alcohol/Beer/Wine Service:

Parkhurst Dining at Randolph-Macon College possesses a Virginia ABC license for on premise catering. We follow all rules and regulations set forth by the Commonwealth of Virginia in our handling and selling of alcoholic beverages. State law prohibits the service of alcohol to anyone under the age of 21. Parkhurst staff reserves the right to request identification for anyone believed to be underage, this includes private functions. State law also prohibits the service of alcohol to anyone suspected of being intoxicated. No guest may remove alcohol from the event and may not take alcohol beyond the designed event space. No outside alcohol will be permitted into an event.

All pricing for meals and receptions include standard linen service for all food tables

The pricing above is for our standard linen. If you would like custom linen, the price may vary.

China Service:

Additional fees may apply if china service is requested. Please contact the catering department for more details.

Late Notice Catering:

Catering events planned with notice of less than three business days will incur a 15% of your total invoice charge.

Final Guarantee:

A final guaranteed guest count must be given to the catering department no later than three business day prior to the event. If no final count is obtained, we will prepare and charge for the original number of guests. Cancellations up to three days prior to the event are without charge. Same day cancellations will result in a full charge of the entire event.

Food Safety and Liability:

Randolph-Macon Dining takes exceptional care to follow recommended proper food handling procedures in the best interest of our clients and guests to help reduce the risk of foodborne illness. Due to health code regulations, any leftover food remains the property of Parkhurst and under law must be disposed of by the caterer and cannot be removed by the client.

Additional Notes:

The catering office reserves the right to substitute items based on product availability. We will make every attempt to inform you of this change as far in advance as possible.
